Job Title: Import Merchandiser

Role Summary 

The Import Merchandiser is responsible for maintaining the flow of accurate data to the Account Manager and ensuring that all relevant files, Critical Paths and Sample Test Reports are kept up-to-date. They are process managers from sample and development stage, to forwarding stages. Import Merchandisers understand the key components to ensuring an order is 100% to the customer’s requirements. 

Key Duties 

Critical Path Management 

  • Managing all stages and timelines within the critical path structure. Ensuring all deadlines are not just met but have hit customer standards. 
  • Maintaining high levels of quality communication with the customers to provide assurance that each stage of the path is managed effectively. 
  • Visibility of anything which may potentially cause issues for the business or for the customer and resolving these quickly. 
  • Providing Account Manager with regular feedback and updates on orders

 

Product Development 

  • Providing customers with design solutions that aligns with their brand and campaign strategies. 
  • Development of high quality and competitive products. 
  • Adapting styles to fit the needs of the customer. 
  • Taking design briefs from the customer and realising their design requirements through knowledge of their consumer requirements and market trends

Relationship Management 

  • Attending customer meetings, when required and collecting details of their requirements to develop the business and relationship with the customer. 
  • Be responsible for the raising of accurate orders within the agreed timeline and ensuring all price and delivery information is accurate. 
  • Ensuring any Junior Merchandisers are learning from you in a way that they understand how the customer operates and how we operate within SLAs

Customer Correspondence  

  • Ensuring the smooth of progression of styles through the sampling & bulk critical paths 
  • Ensuring orders which appear on customer electronic system are checked in order to confirm that they have been raised correctly in relation to style, quantity/size breakdown, price and delivery date 
  • Accountability for the accuracy of delivery information held within customer systems and critical paths 
  • Gaining an in-depth understanding of the product, when possible attend fit meetings, review QC figures 
  • Awareness of Reach & other EU regulations and offering support to the department to ensure they follow guidelines

Client Inquiry Sampling 

  • Responsibility for the on-time delivery of samples and  ensuring that samples are made to correct design brief, correct fit, quality, wash and construction 
  • Undertaking any accessory development and linking closely with customers to ensure timely development and price confirmation 

Co-ordination with Suppliers 

  • Liaising with factories and suppliers on a daily basis 
  • Building strong relationship with office colleagues, carrying out weekly critical path meetings in order to ensure smooth running of customer account. 
  • Gaining understanding of the styles within the range, suppliers strengths and sample critical path lead-times, and this knowledge to constantly review waypoint deadlines and proactively solve any obstacles to the timely delivery of samples 
  • Accountability for raising of accurate orders and ensuring that all price and delivery information are accurate. Also, cross referencing of the components information advised in the garment specification 
  • Carrying out regular reviews of factory foreseeing any capacity issues and proactively offering solutions, and reporting issues to the Managing Director 
  • Maintaining factory capacities and making adjustments when necessary 
  • Providing instructions to suppliers on any airfreights and ensuring that compensation is agreed  
  • Recording awareness of suppliers weakness and strengths 
  • Approving supplier cost prices 
  • Approving pre-shipment advice 

Production Follow-up 

  • Raising purchase orders accurately within the agreed deadline, checking all orders for accuracy of information 
  • Maintaining and updating critical by carrying out regular reviews and working closely with suppliers on sampling updates. Also, ensuring all fabric and components approvals are made to schedule & that production start and shipment dates are achieved.  
  • Organising lab dips  
  • Arranging fabric testing to customer requirements 
  • Maintaining and updating fabric stock schedules when required, and having a clear understanding of fabric stock levels at all times 
  • Providing approvals of bulk wash standards and shade bands, as per customer requirements 

Shipment Follow-up 

  • Providing reporting information to Managing Director and conducting meetings to identify any delivery issues that need to be reported to the business

Post- Shipment Follow-up 

  • Alerting the accounts team to any short or faulty shipments and confirming what actions have been agreed with suppliers 
  • Maintaining accurate record keeping of Customer CPR’s and Distribution, Warehouse charges

Miscellaneous  

  • Carrying out seasonal housekeeping; ensuring samples are kept-up-to date and electronic data in the drives accurate and relevant

You must be…

Role Summary 

Product Developers are responsible for the conceptualization, design, construction, administration and presentation of products to customers. They liaise with all relevant individuals both internally and externally as necessary, which involves providing support to Account Managers and contacting customers and factories. 

Key Duties 

Development and Creative Technical Execution. 

  • Managing the product development strategy to ensure product and margin objectives are met and fulfil the requirements of our Customers  
  • Responsibility for overseeing conceptualization, design, construction and presenting products to Customers 
  • Conducting design meetings with customers to discuss new ideas and concepts 
  • Driving Customer briefing and handover from Design, follow-up on questions 
  • Producing design packs on behalf of the customer, with full trim details, branding etc.

  • Producing design boards at the beginning of each season, clearly stating fabric’s, factories target garment buying prices and target garment selling prices.

In-season responsiveness

Role Summary

The FAS is involved in the day to day running of the purchase side of finance. This is predominantly maintaining organization and management of the invoices and the corresponding data on SAGE. You will also be responsible for management of the sales accounts as well as the pricing structures within the business. You will be responsible for providing accurate finance administration support. Reports into the Finance Manager.

Key Duties

Purchase: 

To check all local and overseas purchase invoices against agreed contract or prices signed or duly authorised by the competent authority.

Ensure all the orders are entered on combined transport by merchandisers correctly and in timely manner, if any orders are missing chase relevant merchandiser.

Check quantity charged on overseas supplier invoices match with combined transport, if any discrepancy raises it with supplier.

For overseas supplier who is being paid in advance check quantity on Invoice and combined transport matches with TT payment rec spread sheet, if any discrepancy raise it with supplier.

Resolve issues with supplier or if required liaise with account managers for resolution.

Raise price discrepancies debit notes (if applicable) to overseas suppliers.

Update debit note statement with debit notes that have been raised to overseas suppliers.

Send debit notes and debit note statements to overseas suppliers and bank ( if applicable)

Enter all local and overseas suppliers invoices on Sage Accounting System, including Combined sales & Purchase, Combined transport, LC schedule and LC & DA Maturity spreadsheets

Sales:

To check selling prices for all orders against extranet prices or any other customer online platform and prices signed or duly authorised by the competent authority before raising sales invoices to customer.

Match quantity mentioned on combined transport with supplier invoice or TT payment rec before raising invoice to customer.

Regularly update spreadsheet for any selling price discrepancies.

Send updated price discrepancies spreadsheet to relevant account manager to ensure underpayment is being recovered from customer.

Send sales invoices to customer by email and by courier (if applicable) within required time frame.

Enter all sales invoices on Sage Accounting System, including Combined sales & Purchase, Combined transport, Cash Flow and LC & DA Maturity spreadsheets

Process all the debit notes received from Customer.

Dispute debit notes with customers if charged incorrectly

Ensure debit notes are processed and recharged to the overseas supplier.

Ensure debit notes are deducted from supplier payment.

General:

Handle incoming telephone calls in a professional manner, ensuring queries are resolved

Role Summary 

The Designer is involved in all stages of all processes ranging from product development, through to production and final delivery. Her or his main responsibility is making sure that the products meet required specification and standards. Also, she or he provides technical advice and service to the Merchandisers, Account Managers and Design team to enable them to secure appropriate and feasible customer orders. Moreover, the Designer helps ensure timely, effective and accurate communication of technical information between customers, colleagues and factories.   

Key Duties 

Garment Specifications 

  • Issuing all tech packs, fit comments and graded specs to the factory 
  • Creating as well as interpreting specs, fits, grading and block 
  • Answering queries concerning specs, quality and production issues in a timely manner 
  • Providing feedback to the factories on sample specification and make up requirements 
  • Measuring and checking all garments prior to fitting with the customer, developments, sealers and production 
  • Attending all fit sessions with customers and advising on ways to improve construction and fit 
  • Fitting of initial prototype samples and issue fit/make/safety comments back to supplier, as part of sealing process, progressing to sealing and pre-production as required

Garment Design and Development 

  • Checking and approving shade bands and wash development provided by the factory based on the customer information 
  • Approving artwork on care label layout and wording 
  • Discussing new designs with the Design department and assisting in deciding on best method for manufacturing 
  • Advising on suitable fabrics, finishes, print qualities, trims etc. during product development 
  • Liaising with the Account Managers and Design team with regards to ideas and changes that can be made to improve garments 
  • Driving initiatives to help improve efficiency in Product Development, i.e. block library and construction standards 
  • Review pattern blocks for any fit review implementation as necessary 

Quality Control and Production 

  • Working closely with factories to help resolve technical issues throughout the production process 
  • Reviewing test reports submitted by the nominated testing houses and submitting to the customer for approval 
  • Assessing faulty garments from the customer and discuss solutions with the factories on ways to resolve 
  • Liaising with the processors if necessary to amend/check faulty garments 
  • Ensuring garments and products are ethical, safe and compliant with relevant legislation 
  • Controlling the critical path to ensure that styles are sealed on time to achieve agreed customer delivery dates 
  • Advising on SMETA/BSCI audit reports, working closely with the factories on social compliance and ETI, uploading reports onto relevant portals.

    Role Summary 

    The Trainee Garment Technologist assists during all stages of all processes ranging from product development, through to production and final delivery.     • Ensuring that all information is on the initial spec sheet (fabric, sample ref.no, trims, threads, approved wash) which needs to be checked against all development/initial requests made by the product developer 
    • Responsibility for preparing all fit comments with the above information, which will be followed through and sent to the factory after the product developer fits the sample 
    • Developing an archive system/daily management system of all samples in the office so that these are easily accessible by anyone 
    • All current season production samples to be on the rail at all times 
    • All booked and not fitted samples to be on a rail 
    • All approved sealers to be on a rail 

    Supporting Roles 

    • Assisting the product developer when required 
    • Compiling weekly sales report every Monday morning by 11am, in time for the team meeting 
    • Assisting the Merchandiser when required  
    • All employees to share housekeeping responsibilities and clean up after themselves. 
    • Other duties and / or activities as may be required from time to time.
